Like any other great invention, the technology and speed of communication has led to abuse in the form of the dreaded spam. Spam is simply email that you do not want, kind of like junk mail you get at home. Most email recipients get hundreds of spam email every day in both their personal and business accounts. Seems like no matter how good the filters are that catch this, spammers just keep spewing their emails.

This has led to the software becoming more and more advanced. These programs, called spam filters, take the offending email and send it to the trash or a special folder. The email owners can then review it or trash it themselves. This is an automatic system and therefore the filter has to have ways of telling good mail from spam. As you can imagine the system is not perfect and thus good emails are often lost. This is apparent because the opposite is true; every now and again, an unwanted email ends up in your inbox. The obvious assumption is then that some wanted emails are being deleted or sent to the spam folder. When this happens business is often interrupted, which is not good for anyone.

As a business owner, you are in dire need of your emails arriving where they are supposed to when they are supposed to. Your clients, customers and partners are very important. You never know when an important business decision may hang in the balance of a well-delivered email. If a spam filter obliterates that important piece of correspondence, it could cost you and your business partners. Therefore, it is very important to know how to keep your emails from ending up looking like spam.

The best and most productive way to protect your email is to converse with your customer or partner and make sure you both have each other white listed. This is a crucial part of the spam filtering system. Using it is simple; just have your contact add your email address to the special part of the spam filter that is marked favorites. This will allow any and all emails from that address to get in unchallenged.

This can be a daunting task at first, especially if this is a new relationship. You cannot always know who has favored you and who has not. Spam filters use two primary criteria to judge an email. They have access to a list of words that are instant red flags to the system and are primary indicators of spam. A prime example of this is common words or phrases used in sales or pornography. These kinds of emails will get an instant axe.
 
The secondary parameter by which spam is caught is the format of the message. If there is an inordinate amount of graphics or an attachment, it is often flagged and sent to the spam folder or trash, never to be seen again. The reason for this is most spammers use sparking marketing to draw the attention of the consumer. This equals lots of color and graphics. Spam filters are trained to see this and mark the offending email as spam.

In order to protect your emails from suffering this fate, you want your emails to look like anything but spam. Forget intense graphics and HTML emails as they set off the spam alert and will likely be sent away. Carefully review the text and title of the email to be sure you did not use anything that could look like advertising. When you know what it is the spam filters are looking for you are ahead of the game. You and your customers will then be free to enjoy the convenience of email to conduct your business.
